All Board Members have a role in the following:

  • Enabling the development, maintenance, and establishment of a safe, secure, and tranquil community of WOTL for all residents to enjoy
  • Acknowledging the inherent rights of our residents, and attributing to them their long-standing efforts and initiatives to make WOTL a great place to live and prosper
  • Working in partnership with the residents and the community to enhance the WOTL community life in whatever way possible
  • Providing effective communication with the membership
  • Maintaining communication with the owner of the leased land, the developer, and the property management company
  • Liaison with E-blaster as required

Responsible for and liaison with:

  • Sandbanks, Frontier and Daimler (along with other Board members on a issue basis
  • County (Mayor, Wellington Ward Councillor, County Staff)
  • External Communications (i.e. outside of WOTL)

Responsible for the general supervision of the affairs of the corporation, more specifically

  • Preside at meeting of Board and Members
  • Responsible for the operations of the Board
  • Official spokesperson for the Corporation
  • Ex-officio, non-voting member of all Committees except Nominating
  • Monitor the performance of all Committees
  • Ensure Directors are aware of policy guidelines and committee decisions
  • Perform other duties as required

Derek Mendham

Vice-President

Responsible for overseeing delivery of the Association’s operational programs and services, more specifically

  • Work with Club/Activity Coordinators to maintain the Association’s events, programs and activities
  • Responsible to complete and monitor Guidelines for Club and Activity Coordinators
  • Responsible for the Room Booking Coordinator, Coffee Mornings Coordinator, Registration Desk Staff, 50/50 Draw Staff (GMs)
  • Lead Operational Review in cooperation with the Treasurer
  • Act for the President in the President’s absence or inability to act
  • Perform other duties as required

Treasurer

Oversees the financial affairs of the Corporation, more specifically

  • Establish and follow sound financial policies and practices that will ensure the long-term financial sustainability of the Association
  • Ensure all monies received and disbursed on behalf of the Association are appropriately and accurately recorded
  • Ensure that proper accounting records are maintained
  • Provide the Board and Membership with an account of the financial position; tracking of the annual budget and monitoring of club and activity budgets
  • Prepare a proposed budget for the upcoming fiscal year and track/monitor the budget on a monthly basis)

Gail Marris-Hardie

Secretary

Maintains the corporate records of the Corporation, more specifically

  • Prepare, prior to each meeting of the Board and Members an agenda for the presiding officer
  • Record the minutes (to our Board standards) of all member and Board of Directors meetings
  • Report and post to the membership the minutes of the Members and Board of Directors meetings
  • Record the disposition and key correspondence in the minutes
  • File the corporate annual return, any changes regarding directors and copies of bylaws and bylaw amendments with Corporations Canada
  • Monitoring correspondence to secretary.wolra@gmail.com and P.O. Box
  • Organization of and ongoing filing of WOLRA files
  • Notices of meetings – posters, bulletin boards and website
  • Management of Online Voting Procedures

Director, Facilities

  • Liaison with Frontier Manager regarding all facilities
  • Monitor and oversee the following: pool, tennis, bocce, and shuffleboard
  • Monitor general state of facilities in WOTL, such as lighting, roads, landscaping maintenance issue, Audio Visual Committee, Kitchen Committee, Fitness Room Committee, Storage Committee, Library Committee, etc. 

Bill Pennell

Director, Community Welfare

  • Monitor and oversee the following: Health, Safety and Disabilities Committee, Evacuation Committee, Legal issues Committee, and Dispute Resolution Committee
  • Responsible for Celebration of Life (COL) including, but not limited to the following: sending or delivering condolence cards, obtaining death notices from newspapers or funeral homes for inclusion by Secretary in WOLRA binder, dealing with family their desire for COL, informing membership, room booker, and Newsletter, advise Treasurer regarding memoriam donations
